This policy explains what personal information and property documents Master Realty collects, why we collect them, who can see them, how we protect them, and the choices you have. It applies to this website and to our Property Management, Property Advisory and Digital Vault services.
Who we are
Master Realty is the trading name of Master Integrated Realty Projects Company Limited, a company incorporated in India with its registered office at C.C 44/1444, Comfort Inn Apartment, Hotel Building, South Janatha Road, Palarivattom,, Ernakulam, Kerala- 682025 ("Master Realty", "we", "us"). We operate this website and the property services described on it: Property Management, Property Advisory and the Digital Vault. In this policy, "you" means anyone who visits this website or uses those services.
Master Integrated Realty Projects Company Limited is the Data Fiduciary responsible for the personal data described in this policy, and decides how it is handled. If you have a question about this policy, write to info@masterrealty.co.in.
Our platform is built and maintained for us by our technology partner, who operates it on our instructions and under contract. Their personnel do not use your documents for any purpose of their own.
Information we collect
We collect the following categories of information:
- Information you give us directly. When you submit the contact form we collect your first name, last name, email address, phone number, your message, and whether you opted in to receive updates. If you subscribe to our newsletter we collect your email address.
- Account information. If you register an account we collect the details needed to create and secure it, such as your name, email address, mobile number and password credentials. Where a service requires identity verification we collect identity documents; Aadhaar numbers are held in masked form only, and the full number is never retained.
- Property documents and records you upload. The ownership records, approvals, tax receipts, plans and related material you choose to place in the Digital Vault or share with us.
- Information generated while we deliver a service. Property inspection photographs, site observations and measurements; inspection and assessment reports; property condition and maintenance records; and work records for services carried out at the property.
- Documents obtained on your behalf. Copies, extracts or records we obtain from relevant authorities at your request, as described under "Help obtaining missing documents" below.
- Professional reports and opinions, where applicable. Reports or opinions prepared by qualified professionals engaged in connection with a service you asked for.
- Property-related communications and service records. Your instructions, approvals, requests, correspondence with us about a property, and the record of actions taken on your case.
- Technical information. Standard server and device information such as IP address, browser type, pages visited and referring page, collected automatically when you browse the site.
We do not knowingly collect information from children, and this website is not directed at them. Where a service involves a child's personal data, we will seek verifiable consent from a parent or lawful guardian as required by law.
How we use your information
We use personal information to:
- Respond to enquiries you send us through the contact form.
- Provide, operate and improve the Property Management, Property Advisory and Digital Vault services you request.
- Carry out inspections, assessments, documentation review and property work you have approved, and report the results to you.
- Obtain missing property documents from relevant authorities where you have asked us to.
- Send you updates and marketing communications, but only where you have opted in. You can withdraw that consent at any time.
- Keep the website and your documents secure, prevent misuse, and diagnose technical problems.
- Meet our legal, tax and regulatory obligations.
We do not sell your personal information, and we do not use the documents you entrust to us for any purpose other than delivering the service you asked for.
Consent and your choices
We process your personal data on the basis of the consent you give when you create an account, request a service or send us an enquiry, and otherwise where the law permits or requires it — for example to meet a legal obligation, or to establish or defend a legal claim.
You may withdraw your consent at any time by writing to info@masterrealty.co.in. Withdrawing consent is as easy as giving it. If you withdraw consent for processing that a service depends on, we may no longer be able to provide that service, and we will tell you so. Withdrawal does not affect anything lawfully done beforehand, and we may continue to hold information where the law requires us to.
The Digital Vault — access and confidentiality
The documents you place in the Digital Vault are yours. Who can open them is governed by the permissions recorded in the platform, and those permissions are checked by our systems on every request rather than being left to the person asking.
- You. As the property owner you can always see the documents on your own properties.
- People you grant access to. You can share access with someone else — an advisor, a family member, a professional acting for you. A grant can be limited to one property, limited to particular document categories, set to view-only, and given an expiry date. When it expires or you revoke it, access stops.
- Individual document shares. You can share a single document with a named person or an outside email address, view-only or with download, with an expiry. You can revoke any share at any time, and we record when a shared document was last opened.
- Our service personnel, to the extent a service requires it. See "Information we share to provide a service" below.
When a document is opened through the platform's viewer, the viewer's identity and the time are stamped into the copy they see. Actions taken on your documents — uploads, verification decisions, approvals, rejections and access grants — are recorded in an audit trail.
Help obtaining missing documents
Where you ask us to, we will assist in obtaining missing property documents, or available copies, extracts or records, from the relevant authorities. We do this only at your request and only for the property concerned, and we will tell you in advance where a fee applies.
To do this we may need to submit your details and existing property information to the relevant authority or its authorised agency. Documents and records obtained this way become part of that property's record and are placed in your Digital Vault, where they are treated exactly like the documents you uploaded yourself.
Information we share to provide a service
Delivering a property service means other people have to see some of your information. We limit that to what the particular service requires, and everyone involved is bound by confidentiality obligations and by the platform's own access controls:
- Property Inspectors. See only the inspection assigned to them and the property details that inspection needs. They have no access to your Digital Vault documents.
- Documentation Assistants. See only the case allocated to them and the documents belonging to that case. They cannot browse other customers' files.
- District Managers. Oversee and approve work within their own assigned district only. Cases outside their district are not visible to them.
- Vendors / Service Partners. See only the work order assigned to them, the property address needed to attend, and the evidence they record for that job. They have no access to your Digital Vault documents.
- Lawyers and other qualified professionals. Where a service requires professional review or an opinion, and only the documents relevant to that review.
- Technology and service providers. Hosting, email, messaging, payment and infrastructure providers who process information on our behalf, under contract, to run the platform.
- Legal and regulatory bodies. Where disclosure is required by law, court order, or to protect our rights or the safety of others.
Access by our own personnel is limited to what their role requires, is governed by the role-based controls described below, and is recorded in the audit trail. We do not give anyone access to your documents for marketing, and we do not share them outside the arrangements set out in this policy.
How we protect your information
We apply technical and organisational measures appropriate to the sensitivity of property documents. The measures currently in place include:
- Encryption in transmission. All traffic between your device and our platform travels over HTTPS/TLS, with certificates managed automatically and security headers applied across the site.
- Protected credentials. Passwords are stored only as Argon2id hashes. They are never held in readable form and cannot be recovered by anyone, including our own staff.
- Session security. Sessions use short-lived access tokens with separate rotating refresh tokens, held only as hashes. If an old session token is replayed the whole session is revoked. Sign-in attempts are rate-limited, and password resets use single-use, time-limited links.
- Sign-in alerts. Where an account is accessed using the Account ID sign-in method, we email the account holder immediately, so unexpected use is noticed.
- Role-based access control. Six distinct roles are enforced by our servers on every request, not by the screen you are shown. Property Inspectors and Vendors / Service Partners have no Digital Vault access at all; Documentation Assistants are limited to cases allocated to them; District Managers to their own district.
- Permission checks on every request. Who may see a document is re-resolved each time it is requested, including the expiry of any access grant. The system is built to refuse by default: an unrecognised, expired or revoked permission conveys nothing.
- Revocable, time-limited sharing. Every grant and share can carry an expiry and can be revoked at any time, after which it stops working immediately.
- Identity stamping. Documents opened through the platform's viewer are stamped with the viewer's identity and the time, which discourages onward circulation.
- Audit logging. Actions taken across the platform are recorded with the person responsible, their role, the record affected, the originating IP address and the time.
- Data minimisation. Aadhaar numbers are held in masked form only, and uploads are restricted to a narrow set of file types and sizes.
No method of transmission or storage is completely secure. While we work hard to protect your information we cannot guarantee absolute security, and we will not claim protections we have not actually implemented. We continue to strengthen these arrangements and will update this section as further measures are put in place.
If we become aware of a personal data breach affecting you, we will act to contain it and will notify you and the Data Protection Board of India as required by law.
Data retention and deletion
We keep personal information for as long as it is needed for the purpose it was collected, and for any further period required by law.
Property documents and property records in the Digital Vault are retained for the life of your account, because their value to you is that they stay available. If you ask us to remove a document, or to close your account, we will mark it as deleted so that it is no longer visible or accessible to you, to our personnel, or to anyone you had shared it with. Marking a record as deleted does not immediately erase the underlying file from our storage, and copies may persist in operational records and in backups taken before your request.
If you want information permanently erased rather than withdrawn from use, write to info@masterrealty.co.in. We will tell you what we can erase, what we are required to keep and for how long, and when remaining copies will be removed. We may also need to retain information connected with a property transaction, a payment, or a legal or statutory obligation.
Your rights
In relation to the personal data we hold about you, you may ask us to: confirm what we hold and give you access to it; correct or complete anything inaccurate or out of date; erase information we no longer need and are not required to keep; and stop processing based on consent you have withdrawn. You may also nominate another person to exercise these rights on your behalf if you are unable to.
To exercise any of these rights, write to info@masterrealty.co.in from the email address registered to your account. We may need to verify your identity before acting, and we will respond within the period required by applicable law.

We use cookies and similar technologies to keep the site working, remember your preferences and understand how the site is used. Essential cookies are required for the site to function. You can control non-essential cookies through your browser settings or, where offered, through the cookie settings link in our footer.
Changes to this policy
We may update this policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. Material changes will be communicated to you directly where we are required to do so.
